I booked my reception back in July 99 with a $1,500 deposit. At that time I booked it for 6pm-11pm. The coordintor told me that if they didn't have an afternoon reception, I could move it up to 4PM and add an extra hour(my ceremony is at 2PM). Well, last week I called her and asked if I could move it up, she said no one has booked it therefore, she can't say yes, because she still has time, since my wedding is October 28. The problem is this is really holding me up! I want to get invitations and hand caligraphy each one, and of course I can't order them, not knowing what time the reception is. What is a good deadline I can propose to her? If nobody has booked it yet, I don't think there's a really high chance of it being booked. Also, someone can book a morning occasion and I can still move it up, so I am confused. Help! We really want people to come to the ceremony, but with a 3 hour lapse in between I know a lot won't.

Have you explained your situation to the site coordinator in the same way you just explained it to us? It sounds like the earlier start time would really be preferrable for you and your guests. Is the coordinator's reluctance tied to the fact that you'd be getting two hours for the price of one? If she won't change your start time on the basis of your explanation alone, perhaps you need to sweeten the pot by offering to buy the two hours of time for the regular (or some other negotiated amount) price...

I think a reasonable deadline is when you are ordering your invitations. Mine took less than a week to come in and it shouldn't take you more than a day or 2 to write them out. Say by Aug 1st you will need to know. That gives you enough time to order them, write them out, etc. It also allows for any delays. Since invites typically aren't sent out prior to 6 weeks before the event that will give you plenty of time. If you are set on doing the invites really early then you will probably have to go with the original time and stick to it or send out a 2nd note to everyone with the new time. She is doing you a favor ..but I don't think she thought it through because you obviously have to know in advance. But you can't really be pushy about the favor.
